1. App Store
Search for POSiSales on the App Store and and download the app onto your iPad.
If you want a time limited full version of POSiSales, send a request using our Contact page and you will receive a prompt response.

2. Settings Menu
(a) Go to the POSiSales “Settings” and enter the Tax Percentage, then complete the Business Details via the “Edit Business Details” button. Enter the credit cards you accept in the “Payment Method”. 

c) Choose Tax “Excluded” if you want the tax to show on the invoice total as ex Tax and an additional tax line item. If by law you need to include the tax in the invoice total (like in Australia), choose tax “Included”.

(d) Select the number of concurrent “Tables”, “Jobs” or “Sets” you intend to have on the go at any one time. Remember, each Job or Table or Set remains open until the invoice is paid, so you can serve up to 100 Tables or have 100 Sets or 100 Jobs running concurrently.

(e) Select “Enable Discounts” if you wish to offer discounts to clients. Select “Fraction” if you intend to sell loose items like food, stones, sand or gravel by weight, where items are sold as a fraction of a kg, lb, oz or tonne, for example.

(f) Select “Do not collate products” if you want to show each item on the invoice even though the items are identical (e.g. 5 coffees would appear as 5 line items)

(g) The “Enable Quick Cash Button” allows a very speedy coffee service whereby a queue of customers provides the exact cash payment, the cash drawer remains open but no receipt is generated, yet each sale is still recorded.

Below is the corrected text for each of the item numbers 3 to 10 

3. Category

Along the bottom row on the screen, click on the “+” button to bring up the category of your products (e.g. Drinks” or “Category 6” etc) and type in the name of your product category (e.g. use “Wine” if you run Wine Bar, or “Roses” if you are a Florist or “Tennis Balls” for a Sporting Goods retailer). 

4. Enter Product Information

Each Category allows 30 products to be entered; there are 40 different Categories, so all up, 1200 different products can be entered.
Select a grey “Tile” or square in the Category and enter the Item Name, Item Code, the Sell Price (including tax) and the Cost Price (ex tax) for the tennis balls, for example. Press the space bar to move text along in order to line it up on the second line of the Item Name. 

5. Star Bluetooth or Star Wireless Printer

In the Settings menu of your iPad, ensure that Bluetooth is on and the Star Micronics mPOP integrated receipt printer and cash drawer or the TSP143IIIBL wireless receipt printer is turned on. Select the Star receipt printer on the RHS of your iPad Settings and it will show “Connected”. Then in the POSiSales app, select “Edit Business Details” and in turn touch the Order Printer and Receipt Printer to bring up the printer you are connected to.

This allows you to add the Bluetooth or IP address to each product for the same or different printers. 

6. Create & Print an Order, Print an Invoice

Proceed to the main POSiSales screen that shows, “Eat In” or “To Go”; select if appropriate or omit, add customer details, if you wish.
Once the invoice has been posted, the Customer button reappears with no entry, ready for a search if desired, or left blank.
Select the Tennis Balls category and touch the tennis ball buttons, so they appear on the screen. 

(a) Touch the “Print Order” button; hit the + if more than one order is to be printed
(b) Select “Print Invoice” button. Now you have the option of splitting the invoice

in a number of ways, in this instance 5 splits.
(c) Notice that in POSiSales you can print an interim invoice if the customer has not finished shopping and also email the invoice before or after printing.
(d) Multiple copies of the invoice can be printed (e.g. one for each split).
(e) Select the payment method; if it’s cash, enter the total cash received and touch “Balance” to show the change due, then print the invoice.
(f) A comment can be added to each line item on the order.
(g) The “Search Items” button to the right of the order screen will find products instantly so they can be added to the order.

(h) Clearing the order via the “Clear Order” button lets you start over; individual line items can be cleared by swiping over the three dots under “Comment”
(i) The “Tables” (Sets or Jobs) button allows you to select the next order entry screen should the first order still be in progress.
(j) The “Cash Draw” button above the order entry screen allows POSiSales to open the triggered cash drawer.
(k) Search for invoices is found in “Settings”; choose search by “Invoice Number” or “Date & time”.

7. Invoice Information

Each invoice shows the business name, address, phone, email and website addresses Note that if you entered the Device Prefix in the “Edit Business Details” (in this case it’s “Fred”), the invoice will be tagged by the user of the iPad, so you can differentiate the users as a check on stuff-ups, if multiple iPads are in use.

Invoice and Table (Job or Set) numbers are on the invoice, along with Date and Time. Item details are shown with numbers sold, price per unit, total price and the spit, if split billing is being used.

In this sale, the tax is included in the total price and the tax amount in the invoice also shows. No discount was given in this sale.

The customer’s address details are on the invoice along with comments that allows the sales person to have some insight into the customer’s buying habits. 

8. POSiSales Reports
In the “Settings” menu the yellow “Export/Import data” button is the entry to the various reporting menus, including the link to Dropbox, where all reports are sent in CSV format. Reports on Dropbox open in Apple’s Numbers app which is free and ships on iPads, or you can use Microsoft Excel if you have it to hand. 

When you select a report, it will be sent to your Dropbox account.
Each report can be opened by Excel or Numbers.
The first thing to do is link POSiSales to your Dropbox.
Select “Re-link Dropbox Account” and link
POSiSales to your Dropbox by entering your email address.

(a) Export Product Sales Tally

This report shows the Item Code, Product Name, Visibility in the product database, Price and Quantity Sold. 

(b) Export Transactions

The Transactions summary includes Date, Time, Invoice Number, Table, Job or Set, Item Code, Quantity, Description, Unit Cost, Extended Cost, Invoice Total, Profit, Tax, Discount and the cumulative Sales Total for all invoices.

To import a spreadsheet of Customers or Category & Items, export them first, so you have the format, then add to them and only then should you import back into the database.

(e) Export Time Sheet

The exported Time Sheet goes to Dropbox and is found in the POS_App_UserDetails.
It shows the staff member’s name, date, start time, finish time and total hours worked. 

9. Till Reconciliation
Select “Till Reconciliation” in the top menu bar. Enter the password or touch “Done”. This takes you to the Till Reconciliation panel where you need to enter the Till float you added to your cash drawer (say $100) at the start of the business day.
Enter 100 in the “Beginning Tills” field. The “Funds for Deposit” field will now show the $100 + the Cash collected from your cash sales.
At the end of the day, count how much cash is in the Till.
You should have your $100 float plus the cash from your cash sales.
Enter the $100 float in the “Ending Tills” field and the “Estimated Deposit” figure will appear. Count and set aside the cash taken from sales and enter the cash in the “Actual Deposit” field.
The “Difference” should be zero if the Till balances.

At the bottom of the Till screen, you can print the Till report on the receipt printer or select “Upload Sales Report” which clears the Till Report.
Alternatively, you can just “Upload Till Report”. 

10. Users

The “Users” setup for different staff members is quite straight forward. But it is not mandatory to set up POSiSales “Users” unless you have POSiSales on multiple iPads to track staff sales and staff time worked.
The default password is “default” and it’s easy to setup users by entering their login name and password.
Notice that you can give users access control and customer acquisition by ticking the boxes at the bottom right.
